Job Description:
Assistant HR Department: organize and maintain employee and company records. Perform a wide variety of clerical and administrative tasks while keeping Human Resources information confidential. Updates job knowledge by reading professional publications and other sources.
Make photocopies, scan or fax documents (HR and AP)
File personal documents in employee files and file all other documents as needed.
Create new folders for employee files when new hires
Maintain files of all employee absences (sick, vacation and/or leave)
Enter New Temp Employees Hours in excel Spreadsheet .Maintain Spreadsheet updated and accurate. Keep record of all new temps, Temp Introduction checklist on first day of work.
Check invoices and time cards, make copies of invoices, fax/scan time cards to temp agencies.
Create the list for the payroll checks every week for Supervisors (Enter, format, print and attach any memos/notices to employees checks) Count checks to verify.
Assist HR Manager on keeping record of all Certificates of Insurance from Vendors, Contractors, Freight Carriers and Brokers. Make sure they are up to date. If not, send a request for an updated copy and maintain spreadsheet update.
Assist HR Manager to obtain a signed Hannibal Industry Agreement form from all Contractors, freight vendors and brokers for liability purposes. Contact departments to remove them from our preferred list of contractors, carriers and/or brokers until agreement is received.
Cover the switchboard for receptionist when needed. (lunch, the last hour and if out sick/vacations)
Work on Weekly payroll for the shop and Houston Shop every Monday.
File Payroll paperwork
Keep Census updated with forms, termination, new hires, etc.
Make sure we have Applications, New hire package and benefits package available at all time.
Assist with report s
Assist with ESOP activities
Create binders for filing every beginning of the year.
Assist with new hires and explain benefits packages
Coordinate with HR Manager open enrollment
Any other duties assigned.
